Set Up Policies to Benefit Your Lash Business This Summer
With summer already here, it’s not too late to introduce policies that will help you manage this busy period. Appointments can stack up, lunch breaks get missed and stock orders are sometimes left until the last minute, resulting in unnecessary delivery costs. Summer can be daunting for busy Lash Technicians, so let’s look at some ways to make the season easier to manage.
Late Policy
Life happens. Your client may be on their way to an appointment when an unexpected circumstance means they will be late. As an understanding business owner, you may decide to allow a grace period of around 15–20 minutes. You can use this time to prepare your tools and workstation or complete some administrative work. However, consistent lateness can disrupt subsequent appointments and leave both regular and new clients unhappy.
When there is still enough time to provide a safe, professional treatment, consider using Premade Fans instead of making every Volume fan by hand. You could cover the bottom layer fully, 75% of the middle layer and 50% of the top layer, using wider fans where appropriate to cover gaps.

Some clients will arrive too late for the treatment to go ahead. After your agreed grace period, it may be appropriate to treat the appointment as a no-show. Even if the client arrives later and asks you to continue, you must consider the clients booked after them.
Beginning the treatment without enough time could cause the appointment to overrun and affect the rest of your schedule. Asking the client to make a new appointment is often the best solution, as lash extension treatments should never be rushed at the expense of safety or quality.
Taking Deposits
Summer can bring more treatments than usual. Clients may book last-minute appointments before travelling, while regular clients still need their infills. You may also have invested in additional lash glue, eyelash extensions and pre-treatment products to meet seasonal demand. When clients cancel without sufficient notice or fail to attend, that investment can quickly become a loss.
A clear deposit policy can help protect your time and business. Decide how much clients must pay when booking, when the deposit is refundable and whether it can be transferred to a rearranged appointment. Make these terms clear before accepting payment and ensure your policy complies with the consumer laws that apply in your location.
If a client does not attend, the deposit may help cover some of the time and income lost, subject to the terms they accepted when booking.
Cancellation Policy
A cancellation policy should balance the needs of your business with reasonable flexibility for clients. Clients may occasionally need to cancel or reschedule for unavoidable reasons, and providing a clear process helps maintain good relationships.
Choose a notice period that gives you enough time to offer the appointment to another client. For example, you might ask clients to provide at least 48 hours’ notice if they need to cancel or reschedule.
Your policy should clearly explain what happens when a client cancels with less notice, whether their deposit is refundable or transferable and when an appointment will be treated as a no-show. Communicate these terms during booking and include them in appointment confirmations so clients understand the policy in advance.
Take Your Breaks
As temperatures rise, there is plenty to monitor, from the conditions in your workspace and your next appointment to cancellations, paperwork and stock orders.
Remember to step back, take a breath and give yourself time to rest. If your schedule is becoming overwhelming, spread appointments out rather than overbooking. You may occasionally need to tell a potential client that your next available appointment is the following week, and that is perfectly reasonable.
Take your breaks when you have scheduled them. Have a snack, sit down and allow yourself time to recharge. Keep refreshed and hydrated, especially during warm summer weather, by keeping a reusable water bottle within easy reach throughout the working day.
Finally, remember to enjoy the summer sunshine. Spending time outside your workspace can support your mental and physical wellbeing. Busy periods can feel overwhelming, but clear policies, sensible scheduling and regular breaks can alleviate some of the pressure and help you enjoy the season too.
